Gym Check-In Access Overview
Review how attendance is tracked, validated, and reported across all check-in methods
The check-in system lets staff and members record gym visits through four methods. Each method feeds into the same system, tracking attendance and validating membership access automatically.
→ See [Member Check-In Methods] to review each method and how they work
→ See [Set Up Check-In Access] for how to configure each method
Check-In Data Recorded
Each check-in logs: Member ID, gym location, date/time, and source (Manual, App, Kiosk, or Rhombus).
Check-In Validation Rules
Before granting access, the system verifies:
-
Active Membership Required
-
Member must have an active membership instance
-
Status must be "ACTIVE" or "VISITOR"
-
Check-in is not available for other statuses
-
-
Access Limits (If applicable)
-
Punch card memberships: check remaining visits
-
Session limits: verify sessions left
-
Day limits: check if within valid period
-
Access Types
Different memberships count check-ins differently:
Unlimited Access
-
Members can check in as many times as they want
-
No counter decrements
-
Just tracked for reports
Session-Based
-
Each check-in uses one session
-
Counter decrements
-
When session count reaches zero, Fitness GM access is denied
Day Based
-
Grants a set number of access days
-
Each day with a check-in uses one access day — multiple check-ins in a day count as one
-
When all access days are used, access is denied
