Get Your Gym Management System Running in 25 Minutes

Core Setup (25 Minutes)

✅ Step 1: Set Up Gym Information (5 min)

Where: Settings → Gym Settings (see Gym Settings)

  • Gym name
  • Business phone number
  • Address
  • Timezone
  • Regional formatting

Why it matters: Affects billing times and member communications


✅ Step 2: Create Your First Membership (5 min)

Where: Memberships → Add Membership Option (see Membership Summary)

Quick template: Monthly Unlimited

  • Basic Information:
    • Title: "Monthly Unlimited"
    • Cost: $50 (your price)
    • Group Plan: No
  • Billing Structure
    • Recurring
    • Every 1 Month(s)
  • Duration Settings
    • Continual
  • Frequency Limits
    • Unlimited
  • Enhancement Fee
    • No
  • Create Membership

✅ Step 3: Create General Waiver (5 min)

Where: Waivers/Agreements → Create Template (see Waivers/Agreements)

  • Title: "General Waiver"
  • Add waiver information to content area
    • Add any necessary placeholders
  • Turn on “Signature Needed”
  • Save Changes

 


✅ Step 4: Create Sign-Up Form (5 min)

Where: Sign Up Forms → Add Form (see Sign-up Forms)

  • Form Name: "Standard Sign-Up"
  • Add basic fields:
    • Name
    • Email
    • Phone
    • Emergency contact
  • Link to membership(s)
  • Link to waiver(s)
  • Create Form
  • Make it default

→ Members will use this to join online or with staff


✅ Step 5: Add Your First Member (5 min)

Where: Members → Create New → Member (see Adding and Deleting Members)
Test with yourself:

  • Enter your info
  • Assign the membership you created
  • Set payment method (use test card)
  • Save

Try checking in with Pin or QR code to verify it works!

🎯 What To Do First (Week 1)

Day 1-2: Staff Setup

  • Invite staff (Settings → Staff)
  • Set roles (Admin, Manager, Trainer)
  • Show them how to check members in

Day 3-4: Additional Memberships

  • Create drop-in/day pass option
  • Add group plan (if needed)
  • Create trial membership

Day 5-7: Waivers/Agreements & Forms

  • Upload more waivers (if needed)
  • Create custom sign-up form (if needed)
  • Test the member sign-up flow
